Self-service reservations for many spaces are now available to School of Music students, staff, and faculty. Use the embedded window below to browse available spaces and make a reservation or open the scheduler in a new tab (recommended). To make a reservation, you will need to log in using your UNCG credentials.

Recital and Concert Reservation and Registration Procedures


Step 1: Bookings and Reservation Form

All 4 steps of Recital and Concert Reservation and Registration process should be completed in order and AT LEAST one month prior to the desired performance date. Any deviation from these steps may lead in a delay or denial of your event, so plan accordingly.

  • Consult the calendar at the top of this page for available dates and times. Please keep in mind that there may be a hold on a date that does not show on the main Calendar of Events due to pending jury and/or materials deadline. However, all tentative recitals will show on the individual hall calendars.
  • Students should first clear recital dates and times with teachers, appropriate committees, accompanists, other participants, and family.
  • All recitals, rehearsals and concerts to be scheduled in the Music Halls must be booked through via the CVPA – School of Music – Bookings and Reservation Form. Please review the booking guidelines in “When may recitals and concerts be scheduled?” (below) carefully before completing the form.
  • Please select at least three (3) possible dates.
  • Bookings and Reservation form submissions will be sent automatically to the School of Music Hall Manager. Responses for concert, recital, or rehearsal requests will be made in a timely manner, usually within three business days. Emailed reservations are made on a first-come, first-served basis according to time of delivery.
  • All recitals, with the exception of those starting at 7:30 pm, should be no longer than 75 minutes, including intermission. There is likely to be a recital following these times and the Stage Crew must be able to reset the halls (i.e. clean-up and stage changes).
  • Requests for any other special events in Music Building must be made through Hall Manager Dennis Hopson. Concerts and rehearsals in UNCG Auditorium must be booked through James Goins, Technical Director at UNCG Auditorium.

When may recitals and concerts be scheduled?

  • No recitals may be scheduled in conflict with faculty ensembles, faculty solo recitals, or guest artist presentations unless an exemption is granted by the Director of the School of Music.
  • Recitals may be scheduled simultaneously in separate venues, with the following limitations:
    • Recitals must be from different performance areas.
  • Student recitals may be scheduled against large ensemble performances of other areas if and only if:
    • The ensemble performance is occurring at UNCG Auditorium or an off-campus location.
    • The large ensemble does not feature a soloist from within the student’s area.

Rehearsal Time in Performance Spaces

The following limitations will be observed in scheduling the concert halls for practice in preparation for student performances:

Please Note – Booking preference will be given to students who are preparing for upcoming recital events over those who are booking the halls for personal use purposes. Every effort will be made to accommodate as many requests as physically possible; however, please remember space will be limited during mid-to-late portions of both Fall and Spring semester. Thank you in advance for your cooperation and understanding with this situation.

LIVESTREAMING

Streaming is only available from Tew Recital Hall and UNCG Auditorium; it is unavailable in the Organ Hall. Recital streaming may be requested through the Bookings and Reservation Form. Streaming fees will be added to the Recital Fee, paid one month prior to the recital date. (See Step 4).

AUDIENCES

Tickets are required to attend any concert or recital in person, with some exceptions.

PROGRAMS

Recital programs will be made available online (PDF) for those who would prefer to view them on a tablet or smartphone. Twenty-five (25) printed copies will be provided to the recital presenter for archival purposes.



Step 2: Recital Jury

All 4 steps of Recital and Concert Reservation and Registration process should be completed in order and AT LEAST one month prior to the desired performance date. Any deviation from these steps may lead in a delay or denial of your event, so plan accordingly.

  • A jury examination to approve the presentation of a student recital must be passed at least ONE MONTH PRIOR to the scheduled performance date. Recitals scheduled during the month of January must be juried prior to or on Reading Day (jury day) of the preceding Fall Semester. A recital cannot be presented nor will it be advertised on the Concerts and Events Calendar until the recital jury is passed. Instructor verification of the successful completion of your jury will be within the Recital Registration form (see Step 4); this will serve as your electronic Jury Approval Form.



Step 3: Recital Programs

All 4 steps of Recital and Concert Reservation and Registration process should be completed in order and AT LEAST one month prior to the desired performance date. Any deviation from these steps may lead in a delay or denial of your event, so plan accordingly.

  • Complete your program in the appropriate (links below), get your instructor’s approval of the document, and make any suggested edits BEFORE submitting your finalized, approved program through the Recital Registration Form (see Step 4).
  • We will no longer require timings for individual pieces to be incorporated into the programs. Please enter the duration for each piece performed in the Recital Registration Form.

Instructions for Completing Program Template

  1. Please choose the appropriate Program Template (see below).
  2. Consult the Style Guide below if you have formatting questions.
  3. When creating the recital program and translation documents using the provided templates, do not spend an inordinate amount of time on formatting. Get everything as closely as you can and the School of Music staff member will fix the rest.  Please, do NOT add formatting to the documents.
  4. Tabs have been preset in the templates. After you’ve entered the title, tab to the right margin to add the composer information. Adding/Inserting tables, indentation, bullet points, outline numbers, etc., merely slows down the process of creating the merged program document.
  5. Check your program for accuracy. Correct spelling, dates, and placement of accent marks are your responsibility.
  6. Send a draft to your studio professor for approval BEFORE submitting it online! You will not receive a draft before your recital.
Program Style Guide:
  • Enter the full title of each work, including key, opus number, and year of composition.
  • Enter the full name of each composer with birth and death years.
  • Include catalog numbers: “BWV” numbers for J.S. Bach; “K” numbers for Mozart; “D” numbers for Schubert; etc.
  • Indent movements or song titles within a cycle/set.
  • If a work is multi-movement and those movements are not titled, please provide the tempo marking rather than a numeral.
  • Spell out key signatures: C-sharp, B-flat
  • “Major” is capitalized, “minor” should be lower case
  • Create space where applause is expected or encouraged.
  • Indicate an intermission, if one is desired.
  • Credit guest musicians on both the cover page and in the program order. This does not include your accompanist.
Translations Guide (for Voice Programs):
  • Intentional space for stanzas, if desired.
  • Proper grammar, spelling, orthographs of the text. (Correct diacritical markings, etc.)
  • Keep foreign language text in the left column and English translations in the If you are including text for songs in English, keep the lyrics in the right column.
  • DO NOT line up the text except to indicate a break in stanza or to indicate space between songs/cycles.
  • Send a draft to your studio professor for approval BEFORE submitting it online! You will not receive a draft before your recital.



Step 4: Recital Registration Form and Fee

All 4 steps of Recital and Concert Reservation and Registration process should be completed in order and AT LEAST one month prior to the desired performance date. Any deviation from these steps may lead in a delay or denial of your event, so plan accordingly.

    • After completing Steps 1-3, please complete the Recital Registration Form. Within this form, your jury approval form will be managed (if applicable), and programs will be submitted for printing.
    • Special staging requirements will be captured within this form. Use of fortepiano and harpsichord requires permission from Dr. Andrew Willis. Use of the portative requires permission from Dr. Bill Young.
